Concepts Volume 5 Issue 2
" Recall", "Recare", "Hygiene Department" whatever you call it, managing a successful system is a lot of work. There are patients with appointments made in advance, patients who are due for an appointment, those who missed their last appointment, etc. Dental Office Manager II's recall system assures you that as you juggle these groups no patient slips through your fingers. Keeping Track of the Recall Patient The key to Dental Office Manager II's successful recall management system is the way DOM II keeps track of recall dates. Recall Dates There are 3 recall dates maintained for each patient: Last Recall Visit, Next Recall Visit and Recall Due Date. This allows you to key reminders and phone calls to when the patient is DUE for their next recall visit, not just to their next scheduled recall appointment. The ability to search for patients that are due for recall at any given point in time lets you fine tune the management of your hygiene schedule for better productivity. The patient's Last Recall Visit, Next Recall Visit and Recall Due Date get updated at each recall visit. Recall Update Window Details such as the patient's recall type, recall frequency, and recall provider are maintained on the Recall Update window. Any code in your Procedure file can be set to trigger the Recall Update window. This window allows you to quickly update the patient's recall information. Selecting Groups of Patients: Past and Future The Recall report window does double duty, letting you select groups of patients who missed appointments in the past AND view patients with recall due dates and appointments in the future. In addition, you can restrict the search to patients of a specific recall type. This makes following up on patients who missed their recall appointment simple. You can also quickly bring up patients who are due now, but don't have an appointment, or have one scheduled weeks away. Selecting The Output After you have entered the date range and other search criteria, you need to select the output of the search. You can send the matches to the View List, print a report, print labels or print post cards. View list The View list loads all patients who match your search criteria in a active scrolling list. From this list you can access each patient's individual recall information, update the patient's recall contact date or call the patient You can select patients in the list and print postcards or labels for them. They also can be printed as a report. Labels If you print labels, you use the appointment code to complete the postcard. The code tells you the appointment date and time for any patients with appointments scheduled in the group. Post Cards Recall postcards can be customized with whatever text you wish. Both reminders to schedule and appointment confirmations can be printed.
